This policy explains what personal information Universal Glass collects through Universal ClearPass (the website at clearpass.universalglassaz.com, member accounts and the agent program), how we use it, who we share it with and the choices you have. "Universal Glass", "we" and "us" mean Universal Glass, 301 W Deer Valley Rd Suite 4, Phoenix, AZ 85027 (ROC #278666).
1. Information we collect
Information you give us
Account details: your name, email address, mobile phone number, password (stored only in scrambled, hashed form) and whether you agree to receive texts.
Service address: the street address, city and ZIP code where we provide mobile service.
Vehicle details: your VIN; the year, make, model, trim and body style; the ZIP code where the vehicle is usually parked; an optional nickname; and your answers about windshield features such as lane-keeping cameras and heads-up displays.
Windshield photos: the photos you upload at sign-up, for a retake or with a service request. With each photo we record when it was uploaded, the date your camera saved (if the file includes one), its size and a digital fingerprint so we can confirm it hasn't been changed. Photo files you upload can also contain other details your phone adds, such as the device model or, if location tagging is turned on, where the photo was taken. If you take the photos with the camera inside our page, we record the time we receive each photo and the type of phone and browser used; we don't collect your location.
Agreements and signatures: the documents you accept, your typed name and any drawn signature, and the date, time, IP address and browser you signed from.
Service requests: what happened, your preferred date and time, the service location and any photos you add.
Referral codes: an insurance agent's code if you enter one or arrive through an agent's link.
Agent program: if you sign up as an agent, your name, agency, email, phone, Arizona producer license number, the carriers you work with and your office city.
Messages: anything you send us by phone, email or text.
Payment information
Card payments are processed by our payment processor, Authorize.net. Your full card number and security code go directly to them and are never stored on our website. We keep only the card brand, the last four digits, the expiration date, and the processor's customer, subscription and transaction reference numbers so we can bill your membership, issue refunds and answer billing questions.
Information from others
Google sign-in: if you choose "Continue with Google", Google shares your name, email address and whether that email is verified. We don't receive your Google password or access to your Google account.
Vehicle lookups: when you enter a VIN, we look up the vehicle's public specifications from the National Highway Traffic Safety Administration's VIN decoder (NHTSA vPIC).
Your insurance agent: if an agent referred you, we record that referral.
Information collected automatically
Like most websites, our servers record basic technical information when you visit, such as your IP address, browser type, the pages you request and the date and time. We use it to run and secure the site. See Cookies and similar tools.
2. How we use information
To create and manage your account, confirm your email address and sign you in.
To price each vehicle, review windshield photos, confirm coverage and provide chip repair, windshield replacement and camera recalibration.
To process payments, monthly renewals, refunds and tier changes, and to send receipts.
To keep a record of the agreements you signed, and to give you copies.
To contact you about your membership, appointments, photo reviews, billing and changes to prices or terms.
To credit referring agents and calculate any referral fees.
To prevent fraud and abuse (for example, confirming photos were taken at enrollment and blocking automated sign-ups), and to keep the site secure.
To comply with the law, resolve disputes and enforce our membership terms.
To improve our service, using information about how the service is used.
3. Who we share information with
We do not sell your personal information, and we do not share it for targeted advertising. We share it only as described here:
Your referring insurance agent. If an agent referred you, that agent can see your name, the vehicles you enrolled, each vehicle's tier and membership status, and your start date. Agents never see your payment details, your photos or your service address. This is also explained in the membership terms and at checkout.
Service providers that help us run ClearPass, only for that purpose: our website host; Authorize.net (payments); our email delivery provider; Google (only if you use Google sign-in); Cloudflare Turnstile (automated-sign-up protection); and NHTSA (VIN lookups, which receive only the VIN).
Universal Glass staff and technicians who need the information to review your enrollment or do the work.
Legal and safety reasons: when required by law or legal process, or to protect the rights, property or safety of our customers, Universal Glass or others.
Business transfers: if Universal Glass is sold or merged, customer information may transfer to the new owner, who must keep honoring this policy.
4. Cookies and similar tools
Sign-in cookies keep you logged in to your account.
A referral cookie remembers an insurance agent's link for up to 30 days, so the agent is credited if you enroll.
Browser storage saves your progress in the sign-up steps on your own device until you finish or close the browser tab.
Cloudflare Turnstile checks sign-up and login attempts for automated abuse. Cloudflare may process technical information such as your IP address and browser details for this purpose.
We don't use advertising cookies or cross-site tracking. If we add website analytics, we'll update this policy first. You can block or delete cookies in your browser, but signing in won't work without them.
5. Texts and emails
We send emails needed to run your membership, such as sign-in codes, receipts, photo review results and notices about your account. We text your mobile number only if you agree to texts, and only about your ClearPass membership and appointments. Message and data rates may apply. Reply STOP to stop texts or HELP for help at any time. We never share your mobile number or text consent with anyone for their own marketing.
6. How long we keep information
Account, membership, payment and signed agreement records are kept while your membership is active and afterwards for as long as needed for warranty, tax, accounting, legal and dispute purposes, generally up to seven years after your last membership ends.
Photos you upload but never use to finish enrolling are deleted automatically after 30 days.
Accounts that never confirm their email address are deleted automatically after 7 days. Sign-in codes expire after 15 minutes.
When we no longer need information, we delete it or remove the details that identify you.
7. Security
We use encrypted connections (HTTPS), store passwords in hashed form, and keep windshield photos in private storage that only you and Universal Glass staff can open. Card numbers are handled by Authorize.net, which follows the payment card industry's security standards. No system is perfectly secure. If a breach affecting your personal information occurs, we'll notify you as required by law, including Arizona's data breach notification law.
8. Your choices and rights
See and update your information: sign in and use the Account page, or contact us.
Get a copy: ask us for a copy of the personal information we hold about you. Your signed agreements are always available under Documents in your account.
Correct or delete: ask us to correct information or delete your account. We'll delete what we can, but we must keep some records, such as payments and signed agreements, for the reasons in section 6.
Cancel: you can cancel any vehicle's membership at any time from your account or by calling us.
Opt out of texts or marketing: reply STOP to any text, or contact us.
Depending on where you live, state privacy laws may give you additional rights, such as the right to know, access, correct, delete or get a portable copy of your information, and to appeal our decision on a request. We honor these requests for all customers regardless of where they live. To make a request, contact us using the details below. We'll confirm your identity before acting on a request, may ask an authorized agent for proof that you authorized them, and won't treat you differently for making one.
9. Children
ClearPass is for adults. You must be at least 18 to create an account or enroll a vehicle, and we don't knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we'll delete it.
10. Changes to this policy
We may update this policy from time to time. We'll change the effective date at the top, and if we make a significant change, we'll tell members by email before it takes effect.
